Batch edit is used to modify a data point for a group of students all at the same time. To start, click on the drop-down menu labeled Operations, then click on the first menu item: Batch Edit.
At the top, you are informed of how many students you have selected for the batch edit. If you need to narrow down my selection you can use the filters at the top to limit how many students are selected.
Some things you can do from the batch edit menu include:
- Deleting a group of student records;
- Updating fields including active status, attending school, feed school, grade, ethnicity, if allow SIS update, transportation code, withdrawal date, notes, comments, and user-defined fields;
- Creating a general stop or private stop at student addresses;
- Re-geocoding students with inaccurate geocoding;
- Complete transportation review;
- Remove all attachments;
- Adding or updating student transportation plans;
- Updating the recurrence of student bus schedules.
Adding or updating student transportation plans
- Create new transportation plans. By default, a pickup and drop-off are created but more can be added by clicking Add AM/PM TRANSPORTATION PLAN PAIR. You can delete any of these rows by clicking the red circle. You have multiple options to choose from for your from a stop and to another stop. The nearest stop option sets it to the nearest stop from the student’s primary address as long as there is a stop within the maximum walking distance that is set in the settings. Also notice that the times are estimates so they will not be strictly enforced. The second checkbox will be on by default and this creates new bus stops at the students’ primary address if that stop doesn’t exist already. The first, which is not on by default, will only create requests that can be fulfilled by current routes and apply to each of the possible stop options. When this box is checked, the system will only create a request for a student if their home address and school are already part of a bus route. Once your request is set you can click Ready to Apply and you will see a number next to the edit icon indicating how many requests you’ve created.
- Update transportation plans of current school year/session. This allows you to update the recurrence for existing transportation plans.
- Regenerate transportation plans from bus schedules. While typically you would be generating schedules from requests, in some cases you may need to create requests from schedules, which this option allows you to do.
- Clone transportation plans from the current/selected school year to another. Since routes, schedules, and transportation plans are semester based you might find that you want to copy transportation plans from one semester to another. To do that simply select the semester you want to clone the current one to.
- The final option is to remove all transportation plans from the selected students.
Updating the recurrence of student bus schedules
The first option allows you to update the recurrence of existing bus schedules of selected students. The second one allows you to delete all existing bus schedules of selected students.
When you’re all done, to complete your batch edit you need to click the green save icon, and then when the dialogue box pops up, click yes to confirm.
